Registration Terms and Conditions

1.Introduction and Agreement

These Terms and Conditions ("Terms") govern your registration, attendance, and participation in any event, summit, or online platform hosted by Africa Pensions ("we," "us," or "our"). By completing the registration process, you ("Registrant," "you," or "your") agree to be bound by these Terms. If you are registering on behalf of another individual or corporate entity, you warrant that you have the authority to bind them to these Terms.

2.Registration and Account Security

• Eligibility: Africa Pensions reserves the right to review and reject any application that does not align with our target audience.
• Accuracy of Information: You agree to provide accurate, current, and complete information during the registration process.
• Credentials: If your registration includes access to an online portal or membership platform, you are responsible for maintaining the confidentiality of your login credentials. Sharing badges or login credentials with unregistered individuals is strictly prohibited.

3.Payment, Fees, and Taxes

• Payment Terms: All registration fees must be paid in full strictly within seven (7) days of the invoice date or initial registration confirmation.
• Cancellation for Non-Payment: Failure to settle your invoice in full within the stipulated 7-day period will result in the automatic cancellation of your registration. You will need to re-register at the prevailing rates if you still wish to attend.
• Currency and Taxes: All prices are quoted in South African Rand (ZAR) and/or United States Dollars (USD) and are exclusive of Value Added Tax (VAT) or other applicable local taxes unless otherwise stated. The Registrant is responsible for any applicable bank transfer fees.
• Denial of Entry: Africa Pensions reserves the right to deny access to any summit, exhibition, or digital platform if payment has not been confirmed and cleared prior to the commencement of the event, regardless of previous registration status.

4.Cancellations, Substitutions, and Refunds

• Refund Policy: All registrations are final. Africa Pensions does not issue cash, credit card, or bank transfer refunds for any cancellations, regardless of when the cancellation request is received.
• Credit Notes for Cancellations: If you must cancel your registration, you must submit your request in writing to info@africapensions.com. Upon receipt of your written cancellation, you will be issued a digital credit note for the full value of your paid registration fee.
• Validity: This credit note is valid for exactly one (1) year from the date of issue.
• Redemption: Credit notes may be applied toward registration for any future Africa Pensions event, summit, or training within the 12-month validity period. Any unused balance at the end of the one-year period will be forfeited.
• Substitutions: If you are unable to attend, you may transfer your current registration to a colleague within the same organisation at no additional cost. Substitution requests must be made in writing at least 14 days before the commencement of the event.
• Cancellations by Africa Pensions: In the event that Africa Pensions cancels, postpones, or transitions an in-person event to a virtual format, your registration will be automatically transferred to the new dates or format. If you cannot attend the rescheduled dates, you will receive a credit note valid for one year. Africa Pensions is not liable for any travel, accommodation, or incidental costs incurred by the Registrant under any circumstances.

5.Code of Conduct

Africa Pensions is committed to providing a professional, respectful, and harassment-free environment for all attendees.

• To ensure a productive and enjoyable experience for all, we kindly ask that participants refrain from disruptions, unsolicited business pitches, or any form of harassment toward delegates, speakers, or staff.
• Africa Pensions reserves the right to immediately revoke your registration and expel you from the event or platform—without refund—if you violate this Code of Conduct.

6.Intellectual Property and Media Release

• Content Ownership: All materials distributed during our events or hosted on our platforms (including presentations, research, and workshop content) are the intellectual property of Africa Pensions, its board members, or its speakers. You may not record, broadcast, reproduce, or distribute these materials without explicit written consent.
• Media Release: By attending an Africa Pensions event, you grant us the irrevocable right to use your name, image, voice, and likeness in photographs, video recordings, and promotional materials without compensation or prior approval.

7.Data Protection and Privacy

• Data Processing: We collect and process your personal data in accordance with our privacy policy, the Protection of Personal Information Act (POPIA) of South Africa, and other relevant regional data protection frameworks.
• Networking and Sponsors: By registering, you consent to your name, job title, and organisation being included in the official delegate list. If you choose to interact with sponsors or exhibitors (e.g., by scanning your badge at their booth), you consent to your contact details being shared with them. You may opt out of sponsor data sharing by notifying us prior to the event.

8.Limitation of Liability and Indemnity

• Assumption of Risk: You attend Africa Pensions events and utilise our platforms at your own risk.
• Limitation: To the maximum extent permitted by law, Africa Pensions, its affiliates, employees, and partners shall not be liable for any direct, indirect, incidental, or consequential damages, including loss of profits, data, or business opportunities arising from your registration or attendance.
• Indemnity: You agree to indemnify and hold harmless Africa Pensions from any claims, damages, or legal expenses arising out of your breach of these Terms or your conduct at our events.

9.Force Majeure

Africa Pensions shall not be held liable for any failure or delay in performing its obligations where such failure is the result of circumstances beyond its reasonable control. This includes, but is not limited to, natural disasters, pandemics, acts of terrorism, war, strikes, government mandates, or failures of public infrastructure.

10.Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts located in Johannesburg, South Africa.
